As the Site Assistant, you will serve as the local point of contact, ensuring smooth day‑to‑day office operations while supporting managers and the team to create a positive, well‑functioning work environment.
- Manage office and kitchen supplies, vendors, and facility maintenance
- Organize meetings, events, and support onboarding activities
- Assist with travel arrangements, scheduling, and hosting visitors
- Coordinate external partners and compliance‑related tasks (H&S, legal, building)
- Liaise with local authorities when required
- Support health & safety processes and adherence to office policies
- Handle general administrative duties and documentation
- Provide HR support, including onboarding/offboarding, employee guidance, and TA assistance
Who we are looking for
- Experience in office management, site assistance, administration, and basic HR operations
- Experience supporting remote and international teams
- Strong MS Office skills (Word, Excel, PowerPoint)
- Excellent organization, multitasking, and attention to detail
- Reliable, proactive, and solution‑oriented approach
- Strong communication and coordination skills
- Ability to work independently and manage priorities effectively
- Comfortable working with external vendors and authorities
- Fluency in Romanian and English, spoken and written
